Rephrase Your Words ②: How to say 「できません」 without hurting the listener?

「できません」 (“I can’t”) is common at work and in service. It is accurate, but it directly denies a request, so it may sound cold. Let’s find softer ways that keep the meaning but sound cooperative and polite.
Word of the Day (reading and IPA)

- Meaning: A polite way to say you cannot do something because of rules, schedule, ability, or situation.
Note

Ready‑to‑use templates
- Reason + condition: 「Xのため、17時以降なら可能です。」 (Because of X, I can do it after 17:00.)
- Reason + scope: 「規約上、個別対応はいたしかねますが、手順のご案内は可能です。」 (Per policy, custom work is not possible, but I can guide the steps.)

- Phased: 「まず小さく検証し、問題なければ本番適用に進めます。」 (Let’s test small first, then move to production if all is fine.)
Grammar (easy view)
- 「できません」 is the polite negative of the potential form of 「できる」.
- Using the negative directly often stops the other person’s action.
- Rephrase by choosing another structure (sharing, proposing, cooperating).
Mini dialogues (practice)
- At the counter
A: 「本日中の反映は難しい状況です。明日の午前でしたら対応可能です。」 (It’s hard to apply today. Tomorrow morning works.)
B: 「わかりました。では、午前でお願いします。」 (Understood. Morning, please.)

- Goal is clear (create next action, not just refuse)
- Reason is shared (policy, safety, quality, order, manpower)
- Alternative provided (time, scope, condition, steps)
- Willingness shown (state the part you can do)
- Style matches channel (formal in email; natural in speech)
